This Privacy Policy explains how Mahutonga Media Limited ("Legal Beagle", "we", "us", "our") collects, uses, stores and discloses personal information through the Legal Beagle service, website and applications (the "Service"). It should be read alongside our Terms of Use & Disclaimer, which covers the legal-information nature of the Service. We handle personal information in accordance with the New Zealand Privacy Act 2020.

1. Information we collect

• Account information — your email address and password (stored as a salted hash, not in plain text) when you register.
• Questions and chat content — the legal questions and messages you send the Service, and the AI-generated responses, so your conversation history can be shown back to you.
• Uploaded documents — any PDF or Word documents you attach are processed (including OCR text extraction) so their content can inform your conversation.
• Usage information — how many questions you ask and roughly how many tokens they use, tracked per account so we can show your usage and enforce plan limits.
• Billing information — your selected plan and subscription status. Card and payment details are collected and processed directly by our payment processor, Stripe; we do not receive or store your full card number.
• Technical information — IP address, device and browser type, and a session cookie used to keep you logged in. We do not use third-party advertising or analytics tracking cookies.
• Support communications — anything you send us at support@legalbeagle.nz.

2. How we use your information

We use your information to: provide and operate the Service (including generating answers to your questions); maintain your account and conversation history; process payments and manage subscriptions; monitor and enforce usage limits; respond to support requests; detect and prevent misuse; and meet our legal obligations.

3. Who we share it with

We do not sell your personal information. We share it only with the service providers that help us run the Service, and only to the extent needed for that purpose:

• Stripe — payment processing and subscription billing.
• Legal Beagle's own AI system — the questions and documents you submit are processed by our proprietary language model, which we have developed and fine-tuned.
• Our hosting and email providers — to run the servers the Service operates on and to deliver account emails (such as password resets).

Some of these providers may process information on servers located outside New Zealand. Where that happens, we take reasonable steps to ensure your information continues to be protected consistently with this Policy.

4. Confidential and privileged information

As explained in our Terms, please don't submit information that is confidential, privileged, or that you're not authorised to share. Questions and documents you submit are processed by automated systems and, as above, may be sent to third-party infrastructure providers to generate a response.

5. Data retention

We retain your account and conversation history for as long as your account is active, so you can refer back to previous conversations. If you close your account or ask us to delete your data, we will delete or de-identify it within a reasonable time, except where we need to keep limited records (e.g. billing records) to meet legal or accounting obligations.

6. Security

We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS) and hashed passwords. No system can be guaranteed 100% secure, and you share information with the Service at your own risk.

7. Your rights

Under the Privacy Act 2020, you have the right to ask us what personal information we hold about you, to request a copy of it, and to ask us to correct or delete it. To do so, email support@legalbeagle.nz. If you're not satisfied with our response, you may complain to the Office of the Privacy Commissioner (privacy.org.nz).

8. Children

The Service is intended for adults seeking general legal information and is not directed at children. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated Policy on this page and update the "Last updated" date. Your continued use of the Service after a change constitutes acceptance of the updated Policy.
